The Laundry List

The Laundry List is the first e-mail you’ll get from me after we talk and have decided to move forward. It is basically a summary of what we’ve agreed to do together and then a list of my policies: what I expect from you and what you can expect from me. Here is an example:


Hello again!Thanks for contacting me. Below is my ‘Laundry List’… things you can expect from me and what I need from you to get started.

What we discussed was publishing a basic four page web site based on the materials you provided.

What I need to begin is:

1) Any other materials you can provide including: a) bio copy (the ‘about’ page) b) services copy c) any other notes, sketches, mockups, wire-frames you think would help

2) A check for $xxx or a credit card payment or a Paypal payment for that amount to this e-mail (mail@jchwebdev.com). This is a pre-payment for 8 hours of my work (at a discounted rate!)

3) Your domain name and credentials for accessing your host. If you have not purchased a domain name or hosting yet, I’ll either need you to do that, or I can do it for you for $100 for 1 year.

As soon as I receive all 3 of these I will… a. Send you a receipt b. Get to work

By sending me a deposit you are agreeing to all my terms below, so please read carefully.

MY TERMS

1. I do -not- do ‘finished price’. I am a humble workman who labours for $60 per hour. The above is only a guesstimate based on our discussion. There is always back and forth on this sort of thing. I am the sole arbiter of ‘doneness’, which means that if I tell you that it’s more (or less) money to do a particular task? You just have to trust that I’m not milking this.

2. My terms are Upon Receipt. I work pretty fast. All I ask is to be paid somewhat as promptly. You can make a credit card payment here. You can also pay via Paypal to mail@jchwebdev.com. I do not accept American Express.

3. Pre-payments are non-refundable. Deposits are non-refundable. Pre-payments have a one year expiration date. I will bill you as I go in blocks of 2 hrs. Again, not when ‘finished’ as that is a moving target and I like to eat.

4. For this job I expect to be done within 10 business days. If I reach the amount of your deposit/pre-pay (8hrs) and you would like additional work, you are free to pre-pay for another 8hr block and save some dough or continue on at the regular rate.

5. At any point, so long as you’re current with the last payment, you get all my work product. It’s all right there on the web site, so there’s nothing to ‘withhold’. So that should be -somewhat- comforting.

6. I will -always- make myself available to discuss stuff. Except when I’m not. When I’m not available, I always give customers 24 hrs notice. But sometimes I do go fishing.

7. I like to have complete access to whatever domain/namespace we decide to work on. We can stage it somewhere safe and totally out of the way before deployment, but I can’t be calling some IT guy every 5 minutes when I need something to get going (as I said, I like to work fast.) If there are delays in getting info/credentials because of a slow IT dept? That’s billable time. If I’m promised content and I don’t get it when I need it to work on a critical section? That’s billable time. If I ask for feedback? Please get it to me as quickly as you can.

8. I completely guarantee my work in the following way: Any mistakes on my part such as coding bugs, missing artwork, spelling typos, etc. will be corrected at no cost within a reasonable time. I’m the arbiter of ‘reasonable’ unless we have a prior agreement or you’re willing to pay a rush charge. Anything else, such as bugs which are beyond my control (from another developer or ISP) are billable.

9. In general, I encourage you to CALL ME when you have questions or concerns. Design is as much about feelings as code. E-mails can be impersonal or imprecise. Anything you need to discuss? It’s usually faster to do a 5 minute call than 3 e-mails back and forth, so don’t be shy! Phone calls over 15 minutes are billable time.

10. And last but not least: I recognize that your website is your brand. I take that as a very serious responsibility. Thanks so much for your trust… and the opportunity to make you a great web site.
